PowerPoint as a slides platform

PowerPoint is the editor most workplaces still send around as .pptx. That is not nostalgia. It is the file format that legal, finance, and most client inboxes already open without a permission prompt. A theme here is the Slide Master: colors, fonts, and layouts that every new slide inherits. A template is a filled deck that already uses that master.

PowerPoint still has the strongest Slide Master of the common slide apps. You can define placeholders, hide unused layouts, lock a type ramp, and ship a .potx that an entire department reuses. Google Slides can import a theme from a PPTX or another Slides file, but it does not match that master depth. If your job is “make this look like our last board deck,” start here.

The first-party gallery is Microsoft Create. The specialist for business diagrams is SlideModel. Many Google Slides libraries also ship PPTX, so Slidesgo still belongs on a PowerPoint shortlist even though Drive is not the home.

When PowerPoint is the right home

Use PowerPoint when the deliverable is a file, not a link. That includes board packs, sales decks that get forwarded, and any org that standardized on Microsoft 365. It is also the right home when you will spend time in Slide Master: custom layouts for two-column comparisons, data slides with consistent chart colors, and speaker-notes conventions that travel with the file.

Importing a Google Slides deck is possible—download PPTX, open it in Office—but fonts and animations often need cleanup. Treat that import as a transfer, not a finished file. If the team already lives in Drive comments, start on the Google Slides hub instead of converting every week.

How to apply a theme

1. Download a .potx, .thmx, or .pptx from a host you trust. Official files live on Microsoft Create. Catalog PPTX files often come from Slidesgo or SlidesCarnival.
2. Scan the file with your OS tools. A theme should be an Office document, not an installer.
3. Open PowerPoint → Design → Browse for Themes. Pick the file. Or open the .potx directly and save a copy as your working deck.
4. Open View → Slide Master. Delete layouts nobody should use. Replace stock fonts with the brand pair if the pack used fallbacks.
5. Set theme colors under Slide Master → Colors so charts and accent shapes pick up brand hex instead of the pack’s defaults.

When to skip PowerPoint

Skip it when ten people must comment in the same file this afternoon and every account is already in Drive. Skip it when the deck is really a designed poster set you will present from Canva or export as PDF. Skip it when you only need a prompt-to-outline first draft—that is Gamma or Beautiful.ai, then export later if the org demands PPTX.

PowerPoint is weaker as a “browse illustrated education packs” storefront. Slidesgo and SlidesCarnival win that hunt, then you download PPTX if Office is still the last mile.

Importing Google Slides into PowerPoint

Download the Slides file as PPTX (File → Download → Microsoft PowerPoint). Open it in desktop PowerPoint. Expect Inter-to-Calibri substitutions, dropped or flattened animations, and charts that need a color pass. Rebuild anything that must look exact in Slide Master rather than nudging each slide.

The reverse path—PowerPoint into Slides—uses Theme → Import theme from a PPTX. Same warning: fonts and some layouts drift. If Drive is the source of truth, pick a library that already ships a native Slides copy.

A realistic week in PowerPoint

Monday: someone forwards last quarter’s board file and asks for “the same look, new numbers.” You open Slide Master, confirm the color set still matches brand hex, and duplicate the data layout instead of drawing a new chart from a blank slide. Tuesday: a Google Slides workshop file arrives as PPTX. You import it, replace Inter-to-Calibri accidents, and flatten animations that only worked in Drive. Wednesday: a teammate adds a rogue cover from a random download. You delete the extra layouts in Slide Master so that cover cannot happen again. Thursday: you save a .potx for the team and write three rules—allowed layouts, required fonts, off-limits accents. Friday: you export PDF for the leave-behind and keep PPTX as the editable source.

That week is why PowerPoint remains the workplace standard. The file is the unit of work. Links expire. Drive permissions fail in client inboxes. A Slide Master does not.

If your week is the opposite—five people in comments, no attachment—you are on the wrong hub. Use Google Slides. If your week is Brand Kit marketing, use Canva. If your week is a product launch that must match the UI kit, use Figma.

Common mistakes

Applying a theme from the Design tab and never opening Slide Master. The cover looks fine; slide 14 is a leftover layout with the old teal. Importing Slides every week instead of picking one editor of record. Downloading a “1,000 themes” bundle from a mirror you cannot name in a security review. Treating Gamma or Beautiful.ai export as a finished Office master. Using Coolors as if it shipped layouts—it ships hex.

Fix the first mistake by making Slide Master a required step, not an advanced tip. Fix the second by choosing Drive or Office. Fix the rest by staying on named hosts and reading licenses.

License and safety

Free is not “do whatever you want.” Read the license on the template page: attribution, commercial use, and no resale of the template itself. Microsoft Create files follow Microsoft’s terms for Office / Microsoft 365. Third-party catalogs set their own rules. We do not list dollar prices here because plans change—verify the current license before you present to a client.

Avoid cracked “theme packs” and unknown mirrors. If IT blocks third-party downloads, stay on Create.
